Who drives, who receives and which motor it is charged to: three management documents in La Biblioteca

The use of company vehicles and the receipt of materials join La Biblioteca, alongside the work order control procedure published in September. Three documents that show the part of the job you don't see in the workshop.

Three book spines on a shelf, labelled P-19-02, P-09-03 and R-09-02, beside the title La Biblioteca by Truck Energy

La Biblioteca, Truck Energy's technical library, has added two documents from the Purchasing and Supply department: the procedure for the use and control of company vehicles (P-09-03) and the record for receiving and taking custody of materials (R-09-02). Together with work order control (P-19-02), added on 28 September, they form a set: all three deal with how the company controls what comes in, what gets used and what goes out on the road. The documents are published in Spanish.

What comes in. The receiving record governs the moment something arrives at the company, whether equipment, a spare part or material, at the warehouse or straight to an operating area: what gets checked, who confirms it is in order and how it is put on record. Its centerpiece is a signature: whoever receives it declares that from that moment on they take custody of, and responsibility for, what they received.

What gets used. Work order control is the piece in the middle. Every motor that comes into the workshop gets a number, and everything issued from the warehouse for it is charged to that number, so it is known what material went into each repair and what it cost. If the motor comes back under warranty, it returns to the same order, history included.

What goes out on the road. The vehicles procedure sets out who may drive a company vehicle and with which documents up to date, what is checked before every trip, what is forbidden and what to do after an accident, an incident or a fine. The underlying rule fits in one line: only people registered as primary or backup drivers may drive.

One of the requirements to drive is the defensive driving course, which appears among August's training sessions in issue No. 5 of the internal newsletter.

As with the rest of La Biblioteca, the open part of each document explains what it governs and why, and keeps safety in plain view. The step-by-step detail, the signatures and the document control sit behind technical access.
